Use categories in Microsoft Outlook to organize all kinds of items including email messages, contacts, and appointments. When you assign the same color to a group of related items such as notes, contacts, and messages, you make these items easier to track. If any of the items are related to more than one category, assign more than one color to it.
Instructions in this article apply to Outlook 2019, 2016, 2013, 2010, and Outlook for Office 365.
Add a New Color Category in Outlook
Outlook comes with a set of default color categories, but it's easy to add your own categories or change the color and name of an existing label. You can even set keyboard shortcuts that apply categories to highlighted items.
Categories don't work for emails in an IMAP account.
- Go to the Home tab and, in the Tags group, select Categorize.

- Select the Color dropdown arrow and choose a color for the category.
- If you want to assign a keyboard shortcut to the new category, select the Shortcut Key dropdown arrow and choose a keyboard shortcut.
- Select OK to save the new color category and close the Add New Category Human survival stories. dialog box.
- Select OK to close the Color Categories dialog box.
Assign a Color Category to an Email
Assigning a color category to individual emails is useful for organizing your inbox. You may want to categorize by client or project.
To assign a color category to a message in your Outlook inbox:

- If you'd rather use the menu, go to Home and, in the Tags group, select Categorize.
- You may be prompted to change the name of a category the first time you use it. If prompted, type a new name.
To sort email by categories, go to the View tab, select Arrange by, and choose Categories.
Edit Categories in Outlook
- Go to the Home tab and, in the Tags group, select Categorize.
- Select All Categories.
- Select the category you want to change then take one of the following actions:
- Change the category title: Select Rename, type a new name, and press Enter.
- Choose a different color: Select the Color dropdown arrow and choose a color. Or, choose None to remove a color from a category.
- Remove a category from the categories list: Select Delete. This does not remove the category from items it has been applied to previously.
- Select OK when you're finished.

The entries that you input into your Google calendar can be edited to correspond to a color coding system of your own choosing. By default, your calendar entries will all display as the same color on the calendar, but with a large number of calendar events, this can become confusing. Devising a color coding system, such as one color for work activities, one color for personal activities and one color for family activities, will allow you to visually inventory all of your scheduled events for a particular period of time.
1.Open a Web browser window and navigate to the Google Calendar page at Google.com.
2.Type your Google Account email address and password into the fields at the right side of the window and click 'Sign In.'
3.Navigate through your calendar until you find an event whose color you want to change, and then double-click it. To create a new event, double-click the correct date and time on the calendar.
4.Edit the name and description values for the calendar entry as necessary.
5.Click your desired color for the event from the color choices to the right of 'Event Color.'
6.Click the 'Save' button at the top of the window when you're done making changes to the calendar event.
Tip
- Create a new calendar with a different default color by clicking the drop-down menu to the right of 'My Calendars' and then clicking 'Create New Calendar.' Events added to the new calendar will automatically be given a different color than default events for your existing calendar.

I make a lot of appointments on my calendar and I realized soon enough that color coding them makes them easier to identify at a glance. In Outlook, this is done quickly using categories and you can even do it automatically.
Assigning a Category to an Appointment
- Create an appointment by typing it directly on your calendar, open that appointment up by double-clicking on it to show the full appointment menu. Click on the Category drop-down box arrow.
- Choose from an already created category or create a new one to assign it to your appointment. Click Save & Close. (NOTE: You can apply more than one category to an appointment, but this is not easily viewable on your calendar.)

Create a new Category
- To create a new category while creating your event, go to the bottom of the Categories drop-drown box and click All Categories > New… > New
- In the Add New Category window name your category, select a color and click OK > OK
Automatically Assign Color Coding to your Appointments
I use automatic color coding for repetitive appointments like doctor visits, birthdays, vacation days, staff meetings, manager meetings, etc. Many times I am applying the Appointment category I already have, which is using a dark red color to catch my attention, but other times I create categories specifically for an appointment like birthdays.
- Under the Viewtab click View Settings > Conditional Formatting
Add Colors To Outlook Calendar
- In the Conditional Formatting window click Add
- Type the name of the appointment you would like to get color categorized automatically in the Name box, choose the color in the Color drop-down box, (you can use a color that is already attached to a category that you want to use or you can select a new one) and click Condition…
- In the Filter window type the word or words you will use consistently when creating the same appointment in the Search for the word(s): box. (Make sure you type this correctly and only include words you will use every time.) Click OK > OK > OK.
- Create a new event on your calendar using the words you just used to create your conditional formatting filter. The category and color should be automatically assigned to your current appointment and all other appointments that fit that filter.
NOTE: I’ve noticed that if I try to edit the automatic filter, it doesn’t seem to want to work so I usually delete it and start over if I want to make changes.

Office 365 (Outlook 2016 for Windows) - Organize your calendar with color categories
If you keep a lot of appointments and meetings on your Outlook calendar, adding color categories lets you scan and visually associate similar items. You might assign all personal items to the green category and all important items to the red category
Note Categories don't work for calendars in an IMAP account.
To see more categories or to create a category, click All Categories to open the Color Categories dialog box. To assign a color category from the Color Categories dialog box, you must select the check box next to the color category. The Color Categories dialog box is also a quick way to assign multiple categories to an item.
The first time that you assign a default color category to an item, you'll be prompted to rename the category. At this time, you can also change the color of the category and choose a keyboard shortcut.
- On the Navigation Bar (Navigation Bar: Commands at the bottom of the Outlook window that enable you to quickly navigate to Mail, Calendar, People, and Tasks.), click Calendar.
- Click a calendar appointment, meeting, or event.
- Click on Categorize.
When you assign a color category, that color is used as the item's background color on the calendar grid.
Tip You can change the name of any category. Click an appointment, meeting, email message, or contact, and then click Categorize > All Categories. Click a category, and then click Rename.
